AAI Administrative Coordinator (1.0 FTE)
The Hawaiʻi Conservation Alliance Foundation (HCAF) is seeking expanded administrative and operational support for the Ahupuaʻa Accelerator Initiative (AAI).
About HCAF: Founded in 2006, the Hawaiʻi Conservation Alliance Foundation is a 501(c)(3) nonprofit organization with the purpose and mission to support and advance the capacity building, native ecosystem and biocultural conservation work of the Hawaiʻi Conservation Alliance (Alliance) through fundraising, advocacy, and strategic outreach and communications.
About the Ahupuaʻa Accelerator Initiative: Established in 2021, the Ahupuaʻa Accelerator Initiative (AAI) addresses express needs in ahupuaʻa restoration by focusing on community and culturally centered efforts that bridge terrestrial and marine stewardship, conservation, and restoration. The AAI aims to advance conservation efforts across Hawai‘i by appropriately accelerating the enabling conditions for ahupuaʻa restoration and by illuminating potential pathways to advance community and culturally-centered restoration efforts in present-day contexts. The AAI’s core activities enable and support systems-oriented and holistic approaches to resource management, improved environmental outcomes, shared models of practice, and strengthened partnerships between all involved.
The AAI program works in close coordination with a cross-sector, collaborative community of practice encompassing seven AAI Site Partners across five islands and over 45 stewardship, conservation, resource management, and community-based groups. Duties and Responsibilities:
- Provides administrative and operational support to AAI leadership and meets weekly or biweekly with the AAI team, and other staff as applicable
- Leads core administrative functions for AAI Site Partner and collaborator engagements, including scheduling, agenda co-development, and notetaking for virtual and in-person convenings
- Tracks and reports on tasks across multiple sites and projects, including those contained in the 2023 Ahupuaʻa Action Agenda
- Maintains, and co-develops with the AAI team, communication pathways and engagement strategies for AAI partners and collaborators
- Supports planning and implementation of AAI in-person events and virtual meetings
- Attends and supports select HCA convenings, which may include the annual Hawaiʻi Conservation Conference, quarterly HCA Steering Committee meetings, annual HCA Retreat, and select Subcommittee meetings
- Provides support with AAI funding proposals and reporting
- Other duties as assigned
This is a remote position; however applicants must be physically based in Hawaiʻi. Limited interisland travel will be required and permissible travel expenses will be supported by the AAI. On rare occasion and with advance notice, duties may include working outside normally scheduled hours; this usually occurs on-site at events.
Minimum Qualifications:
- Bachelor’s degree in Natural Resource Management or related natural or social science discipline
- OR at least 4 years of full-time experience in a primary coordination role for community and/or natural resource stewardship projects (continuous years preferred, combined years will be considered)
- Experience with scheduling and maintaining meeting calendars, collaborative document editing and other web-based and project management software
- Careful attention to detail and high proficiency with notetaking, video conferencing software, word processing software (desktop and web-based), and general electronic file management
- Ability to work independently, problem-solve, and execute on action items through completion
- Ability to quickly and effectively pivot and adapt to meet diverse needs and changing environments
- Strong written and oral communication skills
- Experience caring for potentially sensitive information
- Introductory-level proficiency with Hawaiian Pidgin English and Hawaiian Language
- Access to consistent and reliable internet connection and a semi-private space for work calls
- Participate in light to moderate physical activity and have the ability to lift at least 30lbs, unassisted
- Possess a valid driver’s license and be able to lawfully rent and operate a vehicle in the State of Hawaiʻi
- Be physically based in Hawaiʻi
Desired Qualifications:
- At least two years of professional experience supporting multi-partner project planning, implementation, and reporting, especially collaborations engaging institutional and community organizations (continuous years preferred, combined years will be considered)
- Intermediate to advanced knowledge of place-based, biocultural, and community-based stewardship in Hawaiʻi
- Experience leading or supporting administrative functions associated with on-the-ground biocultural restoration, including grant proposals, project management, and reporting, nonprofit fiscal coordination and staffing support
- Intermediate to advanced knowledge of the application of conservation research and/or implementation of on-the-ground stewardship and restoration in Hawaiʻi
- Familiarity with the Ahupuaʻa Accelerator Initiative, or one of its many partners and collaborators
Location: Remote (but must be physically based in Hawaiʻi). Limited interisland travel will be required.
Period of Employment: Starting asap through December 31, 2026 (with the option to review/renew based on performance and continued availability of funding)
Reporting Relationship/Evaluation of Performance: Reports to the AAI Project Manager, who will perform an annual performance evaluation.
Status/Classification: Term, at-will. Continuation of employment is dependent upon operational needs, satisfactory performance, and availability of funds.
Salary/Benefits: Compensation is commensurate with experience and qualifications. Annual salary range is $50,000-$65,000. Benefits include employer matched health insurance, 21 paid vacation and sick days per year and 13 annual paid holidays.
