Regular, Full-Time, Limited-Term (not to exceed twelve (12) months in duration), RCUH Non-Civil Service position with the Pacific Cooperative Studies Unit (PCSU), Ko’olau Mountains Watershed Partnership (KMWP), located in Pearl City, Oahu. Continuation of employment is dependent upon program/operational needs, satisfactory work performance, availability of funds, and compliance with applicable Federal/State laws.
MONTHLY SALARY: $4,703/Mon.
DUTIES: Responsible for general program support duties needed to effectively administer the Ko’olau Mountains Watershed Partnership (KMWP) Project. Acts as the KMWP Flight Follower and point of contact at the office to provide support as needed. Updates and maintains flight schedule and budgeting database. Manages and organizes all support activities for the project including travel, procurement, and other Research Corporation of the University of Hawai‘i (RCUH) and University documents. Manages and tracks budget/expenditures for project grants and prepares financial summaries. Develops proposals and project budgets. Manages, maintains, and organizes accurate records and files on all project activities and assists with the preparation of manuscripts, grants, and reports on accomplishments and activities. Organizes and maintains safety compliance and Standards of Procedure (SOP) files for KMWP projects and personnel. Inputs field data to facilitate fieldwork and project planning and reporting. Maintains staff training and certification records. Drives to coordinate staff and partner meetings, records and types up meeting minutes, and serves as meeting support. Performs radio/phone checks with field staff, as needed. Assists with grant proposals, permits, and reports (e.g., annual and semi-annual funding reports). Keeps track of petty cash expenses and works with the KMWP Program Manager to track fiscal obligations and expenditures.
PRIMARY QUALIFICATIONS:
EDUCATION
Bachelor’s Degree from an accredited four (4) year college or university.
EXPERIENCE
Two to four (2-4) years of experience providing office management with budget formulation and maintenance. Experience in project management, grant writing, preparing written reports, and interpretation of data.
KNOWLEDGE
Strong knowledge of office/business management practices. Knowledge of procurement actions/practices. Knowledge of office administration, accounting, and event planning.
ABILITIES & SKILLS
Demonstrated ability to track and manage budgets. Demonstrated ability to manage multiple office projects in an organized and efficient manner. Proficient in Microsoft Office Suite, Google Suite, Financial tracking applications (QuickBooks) and internet applications. Proficient communicator with the ability to effectively communicate both orally and in writing and comprehend complex verbal and written instructions. Ability to manage an office/project in an organized and efficient manner, and skilled to perform all job duties and responsibilities. Demonstrates keen attention to detail. Familiarity with graphic design programs such as Adobe Illustrator, InDesign, or Photoshop. Must possess a valid driver’s license (and if use of personal vehicle on the job is required, must also have valid personal driver’s insurance equivalent to Hawai‘i’s No-Fault Driver’s Insurance) and maintain throughout the duration of employment. Post Offer/Employment Conditions: Must be able to pass a post offer criminal background check. Must be able to complete basic helicopter safety course (A100) within three (3) months and all other PCSU flight follower training within twelve (12) months from date of hire. Must possess the American Red Cross Certification in First Aid/CPR or equivalent (or be able to obtain the certificate following the training provided within three (3) months from date of hire) and maintain throughout duration of employment. Must complete the online Hazard Communication training immediately after hire or no later than employee’s initial exposure to hazardous chemicals. Must be able to complete the UH Information Security Awareness Training (ISAT) within two (2) weeks from date of hire, and re-certify every twelve (12) months.
PHYSICAL/MEDICAL DEMANDS
Able to lift and carry forty (40) pounds unassisted. Able to occasionally work outdoors on rough terrain and under adverse weather conditions.
POLICY/REGULATORY REQUIREMENT
As a condition of employment, employee will be subject to all applicable RCUH policies, procedures, and trainings and, as applicable, subject to University of Hawai‘i's and/or business entity's policies, procedures, and trainings. SECONDARY QUALIFICATIONS:
Experience working to support conservation or natural resources based programs in Hawai'i. Interagency Aviation Training certifications. Familiarity with basic biological principles especially pertaining to Hawaiian ecosystems and the threats from alien/invasive species. Knowledge and experience with PCSU and/or RCUH policies and procedures. Familiarity with graphic design programs such as Adobe Illustrator, InDesign, or Photoshop. Experience working/collaborating with multiple stakeholders, the general public, and partners.
